Global Administrative Assistant –

The Global Administrative Assistant fills an essential and diverse role providing customer service, organization, and research on behalf of the operations and travel side of the Global team. This individual will serve as the first point of contact for mission trip participants, donors, and all general inquiries to the Global department. The position will require the ability to tend to many details, as well as the ability to interact and communicate with others in an efficient manner. They will also assist in accessing and providing research and background information for global program growth. This will require knowledge of all aspects of our ministry, communicating confidence in our abilities, advocating for those in need, and inspiring others to join in our work.

Essential Duties & Functions

  1. Implement customer service tactics for building and maintaining relationships with donors, trip participants, and all others seeking involvement with the Global program. This may include:
    • Answering the telephone and directing calls to the appropriate personnel.
    • Greet and direct visitors and volunteers to the appropriate area or staff.
    • Process all correspondence electronic and hardcopy as well as: typing, filing and dictation.
    • Ongoing communication and updates to assigned parties through email, phone and database updates.
  1. Complete and process expense reports, maintaining security and confidentiality of finances and reports.
  2. Operate with superb attention to detail, and a proactive awareness of the inter-related nature of all Global operations (community development, mission trips, child sponsorship, etc.)
  3. Research, coordinate, and help secure all travel logistics for individuals, groups and/or staff, including but not limited to hotel and flight accommodations, and ground transportation.
  4. Provide support as needed, with procedures necessary for travel, such as passports, visas and other documentation. When necessary, work with global partners to secure visas.
  5. Ensure that logistical needs are met within the constraints of the organizational budget, demonstrating effective stewardship of all resources and approving expenses as outlined within the policies and procedures manual.
  6. Assist in assigned research and writing initiatives that will increase the efficacy and enhance the integrity of our international work programmatically.
  7. Maintain neat and up to date records as required, as well as assist in the tracking and reporting of monthly metrics to the Strategic Operations team.
  8. To work as an integral part of the Global Team in strategic planning, accomplishing ministry goals, sharing global impact stories, and leading our team with communication expertise.
  9. Attend and contribute to staff meetings, as required.
  10. Accept other duties as assigned.

Education Required:

  • High School diploma or its equivalent, with advanced education preferred.
  • Proficient use and knowledge of Microsoft Office (Outlook, Word, Excel, etc.), and internet browsers.

Experience Desired:

  • Experience in clerical field preferred.
  • Experience working with donor software and databases such as Raiser’s Edge and Luminate are desirable skills.
  • Knowledge and practice of Spanish, both written and spoken, is a plus.
  • Bachelor’s degree required
  • Fluency in Spanish required
  • Experience in public speaking, project management, development and PR, budget management, and strategic planning desired
  • Knowledge or experience in orphan care ministry preferred
